Understanding Challenges
Challenges help turn team goals, departmental priorities, and strategic initiatives into clear, measurable actions that users can complete and be recognized for.
They are purpose-driven tasks created by program administrators to encourage participation, support behavior change, and reward users for completing specific activities.
Challenges can be used to:
- Align teams with business priorities
- Increase visibility and accountability
- Encourage participation and positive habits
- Track progress against objectives
- Reward successful completion
How Challenges work
When creating a Challenge, administrators define what users need to do, what evidence must be submitted, who will review it, and what reward will be issued once approved.
Evidence may include:
- Text submissions
- File uploads
- Hyperlinks
Pre-designed Challenges
The platform includes 15 pre-designed Challenges that can be used immediately or adapted to suit your program.
Administrators can use them as templates, customize them, or build from them to create new Challenges aligned to their organization’s goals.
How to create a Challenge
- Open Admin settings via the settings cog

- Navigate to Programs > Challenges
- To create a new challenge, click
New. This will open the ‘Create new challenge’ window.
- Provide a name for the challenge. You are limited to 255 characters.
- Provide a clear description of what the challenge requirements are and what actions need to be taken to complete the challenge. You are limited to 500 characters.
- (Optional) You may supply an image for the challenge by either dragging and dropping an image file into the window or navigate to an image file by clicking in the image upload window.
- You can make the challenge available to all users on the program by adjusting the slider to ‘Allow all users to claim this challenge’.
- You may restrict the challenge to specific participants, teams, or tags by adjusting the slider to the left. This will turn the slider grey.
- Enter the name(s) of the participants that are eligible for the challenge individually or you may click on the ‘Contacts’ icon and either ‘Search’ or scroll to find participants to add.
- Click ‘Submit’ once you have populated the challenge with eligible participants.
- Provide the name of individual or the tag who will be responsible for approving the challenge claim (see ‘Claims’) in the ‘Approver’ field. You may not have more than one approver or tag per challenge - see below relating to managing tags for effective reviewing of challenges
- You may set a limit to how many times this challenge can be claimed by different participants. For example, setting the limit to ‘10’ will prevent any claims beyond 10 participants and effectively close the challenge.
- Alternatively, adjusting the slider to ‘Unlimited claims’ will allow all participants on the program to claim once. Participants cannot claim more than once per challenge.
- You could set the challenge as a Continuous challenge by adjusting the toggle, a drop-down will appear to select frequency (daily, weekly, monthly, quarterly, yearly). This will allow users to claim for the same challenge repeatedly based on selected frequency.
- Provide a start and an end date for the challenge. Challenges may commence on the day of creation or any date in the future.
- Add rewards by clicking ‘Select budget’ to link a budget to the challenge.
- Enter the reward amount for each claim.
- The calculator window will show you the maximum claims possible, the maximum total payout at the value you have selected, and the available budget. Note: If the total payout exceeds the available budget balance, you can still successfully create the challenge and will be notified weekly to top up budget.
- Apply the Link to poll or quiz toggle if your challenge is to complete a poll or quiz (Note: A poll or quiz must be created before creating a challenge
- To make the challenge available to the selected participants, shift the Challenge status slider to ‘Enabled’. Challenges that are not active are not visible on the participants’ view challenge board. Only the creator of the challenge will be able to see inactive challenges on the challenge board.
- Click on the ‘Create challenge’ button.
- The challenge will now be visible on the challenge board for eligible participants. Users will be notified via email and in-platform notifications.
NOTE: You must adjust the Challenge status slider to ‘Enabled’ to make it available (visible) to program participants.
Editing a challenge
You may edit a challenge that is either active or inactive by hovering over the challenge and clicking on the ‘Edit challenge’ button.
- Clicking the ‘Edit challenge’ button will open the edit challenge window, which is identical to the ‘Create challenge’ window.
- You can edit any of the parameters, adjust reward, add and remove participants, change end dates, etc.
- Once you are satisfied with your edits click on ‘Update challenge’ button.
Using tags for effective challenge reviewing

When using tags for challenges - a guide:
- Create a tag called "Permissions" or "Approvers".
- Create a list item for "xxxx Challenge approvers".
- To update manually via 'User management', add the tag to a users profile via the drop-down with the tag name as specified.
- This can also be done the import file to link specific users to the tag. Simply create a column in the import file with the tag name created, in the user record row add the list item name in the tag name column.
- Once the tag is created and users are linked to a tag, create or edit a challenge.
- In the 'Approver' field, open the contact list and search for the relevant tag to add all linked users as approvers for your challenge for effective reviewing management.
Important notes
- Linked poll or quiz challenges do not require manual approval.
- Points are issued automatically once the linked activity is completed.
- The user must complete the correct linked poll or quiz for the challenge to be completed.
- Timeframes and claim limits may still apply.
